You can import new products into Brahmin Solutions using our spreadsheet template

Import products through a spreadsheet

Using a file template, you can import products with their current stock amounts through Brahmin Solutions. The import template supports product variant creation and adding new variants to existing products. In the template, you'll find instructions (included as comments) about how to structure the import file to create variants in Brahmin Solutions.

Video Walkthrough

To import your products with initial stock to Brahmin Solutions:

  1. Find the template in Brahmin Solutions from the Import / Exports Menu > New Import > Sku > Click the link to download the template.

  2. Please fill in the provided template. We have included some comments on column headers to help you understand the template's structure. You can find more details on how to fill in the template in the article below or by watching the video above.   3. If you're importing initial stock, fill in the On Hand, MAC (Moving Average Cost), Warehouse Code, and Location columns in the template. If your products have tracking fields, the initial stock import will be ignored; you will have to use a custom import provided by the Brahmin Solutions team. Please reach out to us either via chat or by sending an email to support@brahmin-solutions.com to get the custom template.

  4. Save the completed template in .csv format. Remember that the product name must be added for an item to be imported. Any rows without a product name will not be imported.

  5. In Brahmin Solutions, go to the Import/Export menu and select New Import > SKU. Click on Choose File under New Import > SKU, select the .csv file, and click Import.

  6. Depending on the number of items imported, your products and initial stock levels will be added to Brahmin Solutions in either a couple of seconds to a few minutes.

    You can find your imported products on the Variants screen. If you added the initial stock to the template, Brahmin Solutions will create an Inventory adjustment and add Inventory Add as the adjustment reason. You can find the Inventory adjustment from the Reports Menu > Inventory Transactions.

Tips for importing data and additional comments

  1. Make sure you keep the columns in the same order as you get them from the template download. Any modifications to the template columns will cause the import to fail.

  2. The import template supports product variants creation. The Product name field is used for grouping variants, i.e. rows with matching names will be grouped under the same product in Brahmin Solutions as variants. Enter different Variant Names, Variant Option Labels and Variant Option Values to create variants of the product.

    Example: If you have a product "T-Shirt" that comes in two colors (Black and White) and two sizes (Medium and Large), this is how you would enter the following columns:

    If there's an existing product in Brahmin Solutions that you want to add variants to, you can import additional variants with the same template. Make sure the "Product Name" in the imported file perfectly matches the "Product name" in Brahmin Solutions when adding variants to the product.

  3. These are the following required fields: Product Name, Variant Name and MAC

  4. While these fields are not required, it is suggested that you set values if not default values will be set:

  5. To import initial stock quantities and costs through the template, fill in the On Hand and MAC fields. A Inventory adjustment will be created in Brahmin Solutions during the import to record the stock quantities and costs.

  6. You can assign an inventory Location to the quantity you're importing. Inventory quantities in Brahmin Solutions are Location-specific. The Location's name must already exist in Brahmin Solutions before importing. More details are below.

Additional things to keep in mind:

  • Product Name (required) - If you have variants of products, this field is used for grouping variants (i.e. rows with matching product names will be grouped under the same product in Brahmin Solutions).

  • Category - All variants of the same product should be in the same category.

  • Variant SKU - We recommend using unique Variant codes for each product variant.

  • Unit of measure - All variants of the same product typically have the same UOMs but Brahmin Solutions allows different UOMs within the same product.

  • Make? - Products in Brahmin Solutions can be made in your workshop and/or bought directly from vendors. Adding "TRUE" to the Make? column enables the variant to be made with in Brahmin Solutions and BOM to be created for the variant.

  • Buy? - Entering "TRUE" to the Buy? column makes it possible to add products to Purchase orders in Brahmin Solutions.

  • Sell? - Entering "TRUE" to the Sell? column makes it possible to add products to Sales orders in Brahmin Solutions.

Note: You can enter "TRUE" to either one or all Make, Sell and Buy columns.

  • UPC - Enter either a UPC code or a Internal barcode for the variant.

  • Variant label 1 - This column defines the characteristics of the product variants. It is the attribute of the item that differentiates the variants. E.g. "Color", "Size", "Type". Leave it blank if you don't have product variants.

  • Variant value 1 - The values for the "Variant option 1". E.g. if you have defined "Color" as the "Variant option 1", values might be "Red" for one row and "Blue" for the other row (if you have 2 color variants of the product, for example).

  • Variant option 2 - This column defines another characteristic of product variants. For example, a product can come in different colors and sizes. In this case, use "Color" for "Variant option 1" and "Size" for "Variant option 2".

  • Variant value 2 - The values for the "Variant option 2". E.g. if you have defined "Size" as the "Variant option 2", values might be "Small" for one row and "Large" for the other row (if you have 2 size variants for the same color of the product, for example).

Note: Add new columns for variant options and values if you have more than 2 variant options per product. Name the columns in the same format, e.g. "Variant label 3", "Variant value 3" etc.

  • Retail price - Default retail price

  • Buy price - Default purchase price

  • Wholesale price - Default wholesale price

  • Location - Specify the Location for the imported stock quantity and value. Stock quantities in Brahmin Solutions are Location-specific. The Location's name must already exist in Brahmin Solutions. If the Location value doesn't match any existing Locations, the stock quantity will not be imported.

  • On Hand quantity - Use this column if you're importing initial stock qty. This is the quantity of initial stock of the product variant you currently have in your inventory. Quantity is in the Unit of Measure set in the respective column.

  • MAC (Moving Average Cost) - Use this column if you wish to the average cost of the item.
